The Vendor is required to provide automated pharmacy dispensing system (ADS), including installation, system integration, workflow configuration, testing, and staff training, that will support high volume centralized distribution across the health system.
- Objectives
• Deploy an automated pharmacy dispensing system for centralized distribution across multiple facilities;
• Improve accuracy and efficiency in medication storage, retrieval, and dispensing;
• Integrate with epic willow inventory (WINV) as the system of record for inventory management;
• Increase inventory visibility and supply chain control; and
• Reduce manual handling and streamlining of high-volume medication fulfillment.
- Automated pharmacy dispensing system capabilities
• Robotic or mechanical automated storage and retrieval designed for large scale operations.
• High density inventory storage and retrieval platform capable of servicing inpatient ADC replenishment at scale.
• Automated dispensing of manufacturer packaged medications (unit dose repackaging excluded).
• A scalable design supporting increased capacity, throughput, and facility integration.
• Redundant or fail-safe components to maintain consistent operation.
• Customizable workflows aligned with distribution models and medication policies.
• Real time inventory management with medication and lot level tracking where applicable.
• Barcode scanning at every stage of inventory movement (receiving, storing, picking, exception handling).
• Workflow support for controlled substances when required.
• Cycle counting and reconciliation processes aligned with WINV guidelines.
• Support expiration date and lot tracking at a dose level with logic to pick the earliest expiration product during replenishment picking to minimize expired drugs.
• Support priority, stat, and scheduled replenishment workflows.
- Interoperability with existing medication management systems
• BD systems integrate with WINV.
• ADS robot integrates with WINV.
• WINV manages inventory updates, replenishment, and pick confirmations.
• Validated integration with epic willow inventory only.
• Ability to receive WINV generated pick lists and return pick confirmations.
• Ability to support WINV driven replenishment workflows for:
o Pyxis med stations
o Pyxis anesthesia stations
o BD carousel systems
- IT, infrastructure, and security requirements
• Role based access controls
• Secure data transmission
• System audit trails and log-ins
• Compliance with HIPAA, federal regulations, and internal it policies
• Ability for authentication
• Defined system uptime SLAs and disaster recovery capabilities
• On premises, cloud or hybrid architecture as approved by IT
• UL rating or CE mark for product safety requirements
- Project management
• Designated resource to manage vendor’s obligations with regards to the planning, configuration, implementation, testing and training of the final solution
• Comprehensive implementation plan
• Milestone-based project schedule
• Risk management strategies
• Onsite and remote coordination
• Status reporting aligned with requirements
- Installation and configuration shall include:
• Delivery, installation, and configuration of hardware and software
• Integration with epic willow inventory
• Workflow design workshops and documentation
• Validation and functional testing shall include:
o WINV interface validation scripts
o Barcode scan data validation
o NDC mapping validation
o Validation of WINV driven replenishment workflows for Pyxis med stations, Pyxis anesthesia stations, and carousel systems.
