The Vendor is required to provide on premise phone system, including related services such as phones lines and phone system features, to determine if migrating to the cloud-based system is feasible and makes fiscal sense.
- Requirement:
1. Discovery
• Evaluate the phone service contracts, on-going costs, and the phone system’s current features.
• Preform a full inventory of phones, licensing (counts, types, and expiration dates), server hardware, software versions, and any additional components needed for system to operate.
• Interview key stake holders about features or needs not currently fulfilled by the current phone system and desired features.
• Assess network readiness for cloud-based system (LAN/WAN capacity, QOS configuration, firewall compatibility, and redundancy and failover)
• Review security and compliance requirements (e.g., e911,)
2. Analysis
• Based on the findings from task 1, the consultants will compare the on-going cost of the current on premises system with that of three years of total cost of ownership (TCO) of a cloud-based system.
3. Develop
• If the migration is deemed feasible, the consultant will develop a scope of work (sow) for a cloud based phone system based on the previous tasks.
• They will also provide support during the procurement process by addressing any technical questions.
• The consultant will also develop a three-year budget for the on-going operations of the system.
4. Assist with implementation
• The consultant will assist foothill transit with the implementation of the chosen cloud-based phone system.
• Including the porting over of phone numbers to ensure continuity of service and confirming the required features are implemented.
5. Assist with the decommissioning of the on premise system.
• The consultant will assist with the decommissioning of the on premise phone system including the termination of any associated phone lines or services that are no longer needed.
