Wellness Management Systems

The Vendor is required to provide a web-based wellness grant management system to support the administration of agency annual wellness grant program.
- Objectives
•    Streamlines grant application submission for participating districts.
•    Supports administrative review and approval workflows.
•    Tracks funding allocations and reimbursements.
•    Improves communication and deadline management.
•    Enhance reporting and program visibility.
•    Maintains appropriate audit and compliance documentation.
•    Reduces reliance on manual spreadsheets, paper forms, and email-based workflows.
- Functional requirements
A. Grant administration
•    The system shall support the creation and management of annual grant cycles, including district-level funding allocations. 
•    The system shall provide visibility into participation status of each entity and available funding balances. 
B. Application and document management
•    The system shall allow for electronic submission of grant applications and required documentation. 
•    The solution shall support draft functionality, submission tracking, revision capability, and status visibility for applicants and administrators. 
C. Review and approval workflow
•    The system shall include administrative tools to review, approve, modify, return for revision, or deny submissions. 
•    The solution shall support workflow tracking and communication between applicants and administrators throughout the review process. 
D. Reimbursement and financial tracking 
•    The system shall support electronic submission and tracking of reimbursement requests. 
•    The solution shall provide monitoring of approved budgets, payments issued, and remaining funding balances at both the district and program levels. 
E. Reporting and program visibility
•    The system shall provide dashboard and reporting tools offering program-level and district-level visibility into grant activity and fund utilization. 
•    Reporting functionality shall allow for exportable formats. 
F. Communication and security
•    The system shall include notification functionality for status updates and deadlines. 
•    The solution shall incorporate role-based access controls, secure authentication, and appropriate audit or activity tracking.
