RFP Description

The Vendor is required to provide cloud-based software platform to support the operational, administrative, and compliance needs of the education abroad office.
- Outbound and inbound education abroad program and applicant management
•    Appointment scheduler integration
•    Configurable application workflows with conditional logic
•    Program capacity management
•    Customizable forms for risk acknowledgement and programmatic needs
•    Electronic recommendation collection
•    Role-based review and approval routing
•    Document collection and secure storage
•    Applicant status tracking
•    Program management tools
•    Communication tools
•    Applicant and advisor dashboard
•    Participation reporting metrics
- Online program catalog and web integration
•    Serves as the primary public listing of all education abroad programs
•    Dynamically embedded within the university education abroad website
•    Supports program search, filtering, and tagging functionality
•    Allows real-time updates to program data without requiring manual webpage edits
•    Enables SEO optimization (metadata, program descriptions, tagging)
•    Allows automated visibility controls based on program status (open, closed, term-based)
•    Integrates directly with application workflows
•    Preservation of existing program URLs or a documented redirect strategy
•    Compatibility with university existing CMS structure
- Regulatory compliance and audit readiness
•    Proven integration with Ellucian banner (preferred) or
•    Utilization of APIs for data pulls and provide standard APIs to university to pull data.
•    SAML 2.0 single sign-on capability
•    FERPA compliance documentation
- Reporting and institutional data needs
•    Custom report builder functionality
•    Participation analytics
•    Historical data retention and retrieval
•    Exportable reports (csv, excel, etc.)
•    Open doors reporting support capability
•    Scheduled automated report delivery
- Implementation and transition plan
•    Detailed implementation timeline to include integration testing plan with it
•    Staff training plan (live and recorded)
•    Go live support
•    Risk mitigation during transition
•    Maintain interoperability with the provost’s office travel registry platform currently in production at university
•    Migration plan for preserving URLs and SEO value
•    Migration plan for the current online education abroad programs catalog
•    Migration plan for current applicants (spring 2026, summer 2026, fall 2026, academic year 2026-2027, spring 2027, and summer 2027)
•    Data migration plan for historical records.
