RFP Description

The Vendor is required to provide to procure a modern, scalable textbook and instructional materials management system that improves operational efficiency, data quality, and transparency across all hcps schools.
- The desired results include:
•    District wide visibility into instructional materials inventory
•    Improved workflows for schools, teachers, and district staff
•    Strong system integrations to reduce manual processes
•    Accurate tracking of materials to support fiscal responsibility
•    Various data reporting features with export to excel format (i.e. by school, by patron, by title, etc.)
•    A sustainable, user-friendly platform capable of long-term growth
- The ability to provide a district-wide textbook and instructional materials inventory management solution that:
•    Supports 236 independent school sites within a unified district environment
•    Manages and tracks approximately 1.7 million instructional materials and textbooks across the district
•    Provides check-in and check-out functionality for textbooks issued to students and teachers
•    Tracks lost, damaged, and overdue materials, including fine and fee reporting
•    Integrates with district systems, including:
•    Student information system (focus)
•    Staff system (INFOR)
•    Single sign on (class link)
•    Supports secure data hosting, FERPA compliance, cybersecurity best practices, and role-based access
•    Provides migration services from the district’s current system
•    Demonstrates experience supporting large k–12 school districts (100+ sites).
- Include, but are not limited to:
•    A fully implemented SaaS or hosted textbook management system
•    Migration of all applicable data from the current destiny system, including:
•    Bibliographic, item descriptors, and patron records
•    District wide system configuration supporting 236 school sites
•    Integration with sis, SSO, and relevant district systems
•    Training for district administrators and school-based users
•    Ongoing technical support, updates, and maintenance
•    System documentation, reporting tools, and administrative dashboards.
