The Vendor is required to provide web-based and hosted integrated, software solution for creating, managing, updating, and maintaining the undergraduate and graduate catalogs, and for managing the course curriculum approval process through a fully automated workflow type process.
- Provide ongoing support and updates to the software to insure ongoing compatibility with the banner student information system.
- Catalog management
• Solution must provide the ability to publish electronic catalogs on demand directly within the system without involvement of it or the vendor.
• Solution must treat course information in a relational manner in the database.
• A course should exist as a distinct "object" in the database, which can be referenced throughout the catalog(s), particularly in programs.
• This means the system allows a course to be edited or modified in a single location, and then automatically be updated wherever it is referenced in the system.
• This must also apply to any published e-catalog: correcting a typographical error in a course in a published e-catalog should require only that the correction be made to the course in a single location, and the correction being reflected in every location in which the course is referenced.
• The selected solution must provide the ability to share content between catalogs in a relational manner.
• System must provide the ability to publish the catalog into a print format on demand directly within the system without involvement of it or the vendor.
• System must include the ability to provide an auto-generated html electronic catalog interface, an html-5 smart phone compatible interface and any format necessary to make the solution compatible with tablets and other mobile devices
• System must be capable of generating a web-based degree plan for a program on demand.
• The degree plan should include checkboxes with all the information from the program and be dynamically generated.
• The degree plans must automatically update when a change is made to the program in the system.
• Provide a mechanism to print degree plans
• Must support a collaborative edit-approval system that will be extended to content owners in departments, the solution must provide concurrent access to an unlimited number of administrative staff (administrators and editors) to manage content.
• Solution must support and track the relationship of content items, such as courses, to their owning entity, such as a department.
• A related system providing content access control must support the ability to grant a user editorial access to the entire content associated with a department without the need to grant access to those items one at a time.
• Solution must provide a current and historic audit trail showing creation date and time, last modified date and time, approvals, comments, versions, editors (for every edit), maintained for the life of the catalog.
• The changes must be segregated by catalog year: each new catalog must have a unique and distinct editorial audit trail.
• The e-catalog portal must be integrated with web analysis software to provide internet site statistics and reports for administrative users for the e-catalog portal within the administrative system, and with support for google analytics.
• Solution must have the ability to import information from other data structured on campus systems.
- Curriculum management
• Solution must provide the ability for users to submit changes, additions and deletions to both courses and programs in one single system.
• Provide details for the number of websites necessary for the solution, specifically state whether courses are managed in one website and programs managed within another.
• Solution must automatically identify what other departments, courses, prerequisites (or co-requisites), programs, or web pages are affected by changing a given course or program and generate an impact report.
• The system should generate notifications to affected owners of content.
• Solution should auto-populate information when a change is proposed to an existing course or program.
• Information is auto-populated and if any integration with outside systems is necessary.
• Solution must provide user configurable forms.
• Administrative users must have the ability to make changes to both forms and steps, without the involvement of the systems it department or the vendor.
• Solution must provide for an unlimited number of forms at no additional cost.
• Solution must provide the ability to print proposals on demand inclusive of all proposal field information, change tracking, and decisions made on each step.
• Solution must provide the ability to save proposals and return to edit without submitting.
• Solution must provide the ability to add comments to a request, see when comments are added,
• Provide the ability to identify who entered the comments and when the comments were entered.
• Solution must provide the ability to add an unlimited number of attachments to a proposal.
• Solution must provide for configurable datasets, smart fields and conditional triggers within workflow.
• Solution must provide the ability for the proposal to be sent “back” in the process if tabled and changes are needed.
