The Vendor is required to provide Microsoft licensing solution provider ("LSP") that will provide services related to the city's Microsoft enterprise agreement ("EA") and enrollment renewals, licensing administration, management, and support services.
- The supplier shall provide practical licensing guidance and expertise regarding Microsoft licensing program rules and recommendations, which is expected to include, but may not be limited to, the following services:
• Review existing enrollments and identify opportunities to maximize value, such as licensing changes that would benefit the city (e.g., enable cost savings, maximize value, maintain compliance, etc.), information regarding new Microsoft product offerings and associated benefits to the city;
• Provide Microsoft licensing options to support optimal and cost-effective purchases of Microsoft software products that meet city operational requirements;
• Provide updates on Microsoft software product and licensing changes with detailed explanation of impacts to the city's enrollments and available options to mitigate impacts;
• Provide guidance related to design and implementation of new software products;
• Explain structure of Microsoft agreements and associated benefits, and assist with use of available Microsoft benefit services included in the EA; and
• Assist with navigation and use of Microsoft administrative and licensing portals, including coordination of any required information changes and updates.
- Microsoft EA enrollments, renewals, and administration
• Coordinate and process the timely and accurate renewal of the city's enrollments with Microsoft country in advance of the renewal due dates, including, but not limited to, provision of all required documentation for execution by the city's signing authorities; facilitate accurate and timely software product purchases through Microsoft throughout the contract term, as requested by the city;
• Coordinate accurate and timely annual true-ups and payment amounts (to be paid directly by the city to Microsoft) in advance of due dates, including but not limited to adjustments to annual payments resulting from purchases made over the prior year; provide all associated administrative activities, including but not limited to, issuing quotes and invoices and placing orders; and lead resolution with Microsoft country for any licensing discrepancies.
