Archival Information Management System Hosting Services

The Vendor is required to provide archival information management system archives space is used to manage, describe, and provide access to county’s archival collections.
- A hosting service allows the interface to be made publicly accessible online for researchers and the general public to search and view collection information.
- Technical specifications
•    Provide a cloud based hosting environment with at least 2 GB ram, 2 CPU cores, 3tb of bandwidth and 20 GB of storage.
•    The hosting environment shall run a Linux distribution like UBUNTU or red hat.
•    The hosting environment shall have a dedicated MySQL database for production data with MySQL version 5.x or 8.x.
•    The hosting environment shall have a java runtime environment (JRE) and SOLR instance. 
•    The JRE shall be openjdk version 11 or 17 and the SOLR version 9 (9.4.1).
- Implementation
•    THE vendor shall perform data migration of our current archives space repository into a new archives space system, running the latest version and in a new hosting environment.
•    The vendor shall provide two URLs, one hosting the public archives space portal and the other the administrative interface.
- Archives space and server maintenance
•    The vendor shall ensure a secure hosting environment with 24 / 7 monitoring.
•    The vendor shall provide nightly backups of the database and disaster recovery.
•    The vendor shall update archives space when new versions and patches are released and performs any maintenance needed in the hosting environment. 
•    The vendor shall offer the ability to expand archives space by adding plugins and modify the appearance and performance of the archives space system.
- Support
•    The vendor shall provide training and help with questions regarding the application’s use.
•    The vendor shall provide tech support via email, phone or Zen desk for questions related to our archives space repository. 
•    The technical support shall be available Monday-Friday 8am-5pm CST.
