The Vendor is required to provide for project management software
- To effectively deploy and collaboratively work to meet the milestones in the Production Schedule, County Parks needs a cloud-based project management software that can reflect tasks with various dependencies and cross-functional coordination?
- The recreation programming schedule, called the Production Schedule, is a critical tool for the department’s recreation work, with implications for hiring, training, procurement, marketing, and program administration, and has historically been managed via email, spreadsheets, and individual memory.
- Ability to create at a minimum 2,500 view-only users within the same domain at no additional cost. These licenses should not count towards the user license count.
- Software should have the following features natively and not require a third-party addition.
- Ability to create tasks which include a title, description, due date, and assignee. Tasks should not require workload information.
- Ability to include guest users, meaning users with a different domain name. Guest users should not count toward the user license count.
- Allow projects and tasks to be viewed in calendar view, including displayed by day, week, and month. Tasks should appear on the due date. Tasks should be identified by project, even within the calendar view
- Allow for multiple viewing styles for the same project and the tasks of the project, including Gannt chart, list, and kanban style.
- Support multiple independent projects that include over 500 individual tasks
- Ability to create roles for a project and use that role as a placeholder for assignee.
- Be able to associate a specific user with a project role.
- Ability to create custom templates for projects. Templates should include template buckets, tasks, assigned person or role, and dependencies as identified in the project. The tasks’ Start and Due dates in the custom template project should automatically populate based on a reference date (e.g., launching the template)
- Allow users to link dependent tasks (predecessors and successors).
- . Automatically update schedules when task/milestone durations are altered and/or deadlines are missed.
- Report should be able to include number of tasks due the upcoming week or month, the number of tasks past due, and tasks by category. Reporting should also show the status of projects within a portfolio.
- Be able to import and/or export project data to Excel files.
- Administrator users should have the ability to change the authorization level for other user accounts
- Ability to set up rules across an entire project
- Ability to send notification reminders a custom number of days ahead of a task due date.
- Ability to set up automated workflows.
- Ability to include custom fields (e.g., tags/labels) on a task.
- Ability to designate tasks as a priority.
- Ability to assign a specific user to a task.
