The Vendor is required to provide nurse scheduling and time and attendance system for include:
• Provide a secure, cloud-hosted, web-native platform with 24/7 access and mobile use.
• Enable rules-based, contract-compliant nurse scheduling with real-time visibility (staffing, census, workloads).
• Deliver integrated time and attendance with policy enforcement, exception handling, and time clock workflows.
• Integrate with PeopleSoft HCM (HR/payroll), epic (census), and enterprise reporting
• Offer robust reporting and analytics for clinical and operational leaders.
• Improve user experience for end users, schedulers, managers, and administrators.
- Requirement:
1. Implementation services
• Plan and mobilize: project kickoff; detailed work plan; raid log; communication plan; risk and dependency tracking.
• Requirements: discovery workshops with nursing, HR, and hits to confirm business and technical requirements; documentation and sign-off.
• Configuration: scheduling rules per labor contracts; timekeeping policies; workflows; roles and permissions; mobile access; authentication (SAML).
• Environments: establish test, train, and prod; optional performance/DR/sandbox if available at no additional cost.
• Integrations: design/build/test integrations to PeopleSoft HCM, epic census feeds, and FinanceBI and reporting; provide interface specs, field mappings, and sequence diagrams.
• Cutover readiness: dry-runs, checklists, rollback and contingency plans, and operational handover materials.
2. Data migration
• Develop a migration strategy and data mapping covering historical and current data.
• Execute migration cycles (trial and final) with reconciliation reports and defect remediation.
• Obtain formal sign-off on data completeness and accuracy prior to UAT exit.
3. Training and knowledge transfer
• Role-based training for end users, schedulers, managers, administrators, and super-users.
• Train-the-trainer program for nursing informatics, HR, and hits with reusable materials.
• System documentation, e-learning modules, and continued access to a knowledge base.
• Training aligned with final configuration and approved workflows.
4. Testing support
• Support unit, system, and integration, end-to-end, and UAT cycles.
• Track defects to closure with agreed SLAs and provide test evidence and traceability.
5. Go-live and hyper care
• Execute approved cutover plan with sequencing, checkpoints, and rollback.
• Provide command center support during go-live and maintain hyper care with accelerated response.
• Transition to steady-state support with knowledge transfer and an operations runbook.
6. Ongoing support, maintenance, and SLAs
• Operate under SLAs in section 10 (availability, response and resolution targets).
• Apply regular updates, upgrades, and security patches per maintenance windows.
• Provide a structured change request process for configuration, workflow, and reporting updates.
• Provide access to customer support and online product documentation.
• Conduct periodic business reviews with assigned account representation.
7. Integration requirements
• Integrate with PeopleSoft HCM for HR data, payroll rules, and demographics.
• Integrate with epic for census data to inform staffing decisions.
• Integrate with time clocks and enterprise reporting platforms
• Support SAML-based authentication and secure APIs.
• Provide API documentation, data contracts, architecture diagrams, and dependency disclosures.
