The Vendor is required to provide to replace the Town’s digital signage platform to meet growing business requirements.
- The solution is to include:
• Digital signage hardware display devices (also known as display players, screens, monitors, panels, clients etc.) and licensing
• Device management platform of devices
• Content management platform to create advanced content and push the static and dynamic content to devices
• Ongoing software updates and upgrades to hardware devices and platform
• Technical support and troubleshooting
- They are positioned in various municipal buildings and include a combination of staff-only displays and public-facing displays.
- The remaining 10 devices are used in the Town’s recreation facilities to present dynamic, frequently updated content, such as public ice schedules and other program or facility information.
- The solution must meet the Town’s current needs, including the replacement of the 26 devices and provide an additional 10 display devices to accommodate future growth.

- All devices must be capable of displaying dynamic content via iframe pulling from an existing Town managed custom website hosted in Azure cloud and static slides designed by Communications staff.
- Devices must include all necessary licensing for management and advanced content creation and deployment.
- Town staff will be responsible for installing all display devices including network and power to the existing TV’s/monitor on-site.
- Browser-based and be accessible via desktop, laptop, and mobile devices
- All-in-one software display solution incorporating hardware display device, device and data management, centralized control platform of devices, and content management.
o The Town will accept a browser-based solution where there are multiple portals to manage hardware devices and deploy content
o Platform may separate device management and content management into different webpages
o Cloud based Service as a Software (“SAAS”)
o Server deployed on a major public cloud (GCP, Microsoft Azure, AWS)
o Ability for cloud deployment to handle > 100 client devices for adequate growth
o Backups of the cloud environment included.
o Recovery plan in place in the event of a outage
o Setup of cloud server and associated cloud infrastructure.
o Preference to have data hosted in state Data center.
o Clear Cybersecurity procedures and implementation in place to mitigate cyber threats
o Azure SSO (Single sign on) integration compatible
o Server applications updates included as part of licensing
o Server OS updates included as part of licensing
- Easy to understand and use for both technical and nontechnical users

• Ability to resize content dynamically based on the size of the display screen.
• Fixed pricing for additional devices and associated licensing for management and advanced content creation and delivery for up to 10 additional devices purchased within the first year.
• Import data from an Office 365 Excel workbook and Google Sheet document into the content‑management platform, where it can be formatted and presented.
• Ability to import data from a Microsoft Power BI report to be presented.
• Ability for devices to be enrolled into the Towns Mobile Device Management (MDM) Platform Microsoft Intune.
