The Vendor is required to provide property management system (PMS) for patient lodging operations.
- This stage is straightforward: to understand the landscape of available PMS solutions, identify vendors with relevant experience, and invite a small group of qualified vendors to present their platforms.
- Requirement:
1. Reservation management
• Intake, creation, modification, cancellation, and status tracking (confirmed vs unconfirmed) for patient lodging reservations across multiple properties and buildings — including integration with salesforce voyager (SFV).
• Ability to book a guest across buildings within a single reservation and manage step inventory between locations.
• Unified availability view across all properties when assigning rooms.
2. Guest profile management
• Centralized guest profiles with custom fields, duplicate prevention, and profile merge capabilities, and preference tracking.
• Support for multiple guest categories (e.g., patient, escort, additional guest) and guest status flags (e.g., VIP, elder, prenatal).
3. Room and occupancy management
• Room inventory, availability tracking, occupancy guardrails, room blocking by date range, and out of-service (OOS) management with reason codes.
• Support for multiple room types — including physical rooms (full PMS features) and placeholder and digital rooms (for tracking external reservations) — with configurable housekeeping schedule per room type.
4. Rate and yield management
• Configurable rate plans by room type, location, and guest and payer category (e.g., Medicaid, self-pay, tribal program) with seasonal rate support.
• Automatic application of the correct rate to the guest folio at reservation creation.
• Ability to block inventory through yield management controls across multiple buildings simultaneously.
5. Guest stay management
• Check-in, in-house management, room changes, and check-out with inventory release.
6. Housekeeping management
• Room cleaning status monitoring, turnover tracking and visibility, and staff communication updates.
• Ability to generate housekeeping boards for each location.
• Integration with existing housekeeping system or native replacement.
7. Billing, finance and folio management
• Automatic charge posting to guest folios based on applicable rate plan, folio creation and management, state account controls, charge transfers, damage billing, and billing packet generation and export (e.g., 835 era, excel, pdf).
• Support for long-term stay and monthly billing cycles, aging and state reconciliation reporting, and payment reconciliation back to the guest folio via direct interface or file ingestion (e.g., remittance data, payment status updates).
8. Reporting and analytics
• Native PMS reporting suite with standard operational reports (e.g., occupancy, arrivals, departures, housekeeping, billing) and the ability to create and schedule custom reports.
• Separately, structured back-end data access (e.g., API, data export, or direct data connection) to support center internal bi team in correlating PMS data with other enterprise data sources.
