The Vendor is required to provide salesforce platform to develop a vendor management database with contract processing and vendor coordination and communication features, performing the following work:
1. Initial discovery
• A minimum of five (5) discovery meetings
• A unified process document that captures the end-to-end vision and scope of the to-be implemented platform.
• Backlog of user stories captured in project management software
2. CRM and portal build for fair and non-fair events
• Set up and configure five (5) customer relationship management (CRM) objects with up to twenty (20) custom fields each:
o Accounts (vendors /contractors)
o Contacts (volunteers/contractors/staff/vendor contacts)
o Events
o Tasks and activities
o Contracts
• Vendor workflow and management:
o Assignment and placement and categorization
o External experience for bi-directional vendor communication and management
• Internal communication and collaboration on core objects and records through salesforce chatter or slack
• Tasks, activities and calendar integration and related dependencies and reminders
3. Marketing cloud
• Foundational salesforce marketing cloud (SFMC) platform configuration
o Sender authentication package, reply mail management, user + roles + permissions setup, security setup, single sign on MFA, SSL certificates, sandbox business unit
• Build at least three (3) email templates for vendor outreach
• Create a custom preference center with one checkbox
• Set up marketing cloud connector with salesforce core platform
• Build up to six (6) data extensions with data being imported via secure file transfer protocol (SFTP) or synced via marketing cloud connect
• Build two (2) email journeys with one (1) having a trigger from salesforce service cloud data event
• SMS short code acquisition and mobile connect enablement
4. Integrations
• Email (office 365) integration
• Bluebeam API connection
o Create a bi-directional API that facilitates the connection between salesforce and Bluebeam data
o State fair staff will designate event locations to assign to each vendor and reflect on that assignment in Bluebeam.
5. Training and knowledge transfer and salesforce roadmap
• Training guides, enablement journey links, and quick reference guides
• Two (2) train the trainer sessions.
• Training sessions may be conducted virtually:
o Administrator training
o End-user training
• Post-implementation expansion requirements as captured throughout delivery and sequenced to state fair staff needs.
