Media Asset Management and Shared Storage Platform

The Vendor is required to provide media asset management and shared storage platform to replace a decentralized, removable-drive-based workflow with a unified solution that enables real-time collaboration, secure archiving, and cross-departmental access for its video production, drone performance, motion capture, and design teams.

1. High-performance shared storage infrastructure
• Concurrent high-bitrate editing:
o The system must support a minimum of 10 to 15 concurrent editors working directly off the server with high-bitrate 4k/8k footage without dropped frames or latency.
• Scalable architecture:
o The solution must be modular, allowing the district to increase storage capacity (into petabytes) or add user seats without system downtime.
• Enterprise redundancy:
o Hardware must include raid protection or equivalent data redundancy to mitigate the risk of physical drive failure and data loss.
• High-speed connectivity:
o Interface with the district's 10gbe (or higher) network infrastructure to ensure seamless data throughput.
2. Media asset management (mam) and indexing
• Centralized asset indexing:
o A unified mam layer must allow users to tag, search, and preview proxy clips across the entire library without the need to download large source files.
• Metadata and custom tagging:
o Robust metadata entry, including AI-driven tagging capabilities such as speech-to-text and facial recognition to accelerate workflow efficiency.
• Advanced search ability:
o Users must be able to perform granular searches based on custom metadata fields, file types, and date ranges.
3. Creative workflow and NLE integration
• Native NLE integration:
o Native panels or extensions for adobe premiere pro and the creative
o Cloud suite, allowing editors to browse, log, and import assets within their editing interface.
• Proxy workflow:
o Automatically generate low-resolution proxies upon ingest to support remote editing and reduce local workstation load.
• Collaboration tools:
o Allow for real-time collaboration, enabling multiple editors to access and work within the same project directory simultaneously.
4. Hybrid cloud and remote access
• Cloud synchronization:
o Support seamless synchronization between on-premise high-speed storage and cloud-based backups for secure archiving and remote access.
• Remote review and approval:
o A secure web portal must be available for stakeholders in communications and DTS to review rough cuts and approve assets remotely.
5. Security and administrative control
• Granular user permissions:
o The platform must support role-based access control (RBAC) to protect sensitive assets and limit access based on department or project team.
• Single sign-on (SSO):
o The system must integrate with district-standard SSO protocols for secure and streamlined user authentication.
• Encryption and data privacy:
o All stored data must meet federal and state student data privacy requirements, including centralized encryption for assets at rest.
6. Implementation and support
• Professional services:
o Detailed implementation plan, including administrator training, system testing, and deployment assistance.
• Ongoing technical support:
