The Vendor is required to provide school information management systems for include:
• Perform technical and administrative tasks for planning, maintaining, and managing the district’s student information system and school business suite (enterprise resource planning system)
• Ensure that custom configurations, workflows, and system setups within the student information system and other major district software systems align with district policies, operational needs, and strategic goals
• Oversee report card and progress report processes
• Oversee faster and bright futures transmissions
• Coordinate the full-time equivalent (FTE) reporting process across all schools and departments of the county
• Compile and electronically transmit FTE data to the department for program funding for all data reporting survey periods
• Assist the transportation department with trial reporting for all data reporting for FTE survey processing timelines
• Query survey reports from department to check the accuracy of FTE submitted, obtain FTE survey edits and validation reports, and analyze results.
• Review funded and unfunded survey reports and communicate results with school principals and department heads to resolve errors and omissions.
• Perform all survey batch job submissions, including original data reporting, data edits, and corrections.
• Prepare and submit all management information services reports for the district to state and federal agencies as required
• Ensure completion and accurate submission of additional state reporting tasks whether serving as the primary or supporting staff
• Resolve all duplicated student identification numbers with franklin county schools and other districts
• Coordinate with other districts the resolution of students demographically matched across other districts.
• Prepare and submit all county claims in compliance with department timelines for the associated claim file review process
• Ensure the student data reported for each survey is reviewed by each school’s principal and obtain approval by signature of the principal certifying the student data reported for each survey.
• Provide such records to the district for auditing and verification purposes.
• Manage and organize data for the processing of amendments to past reported FTE surveys in compliance with state timelines
• Assist with FTE audits and other audits as needed.
• Document and manage updates for attendance and other procedures, as well as FTE reporting for the district.
• Review, interpret, and ensure changes to department student information system database for state reporting are implemented
• Manage the annual roll-over of returning students for re-enrollment into the following school year
• Provide training on the operation of the district’s student information system, currently focus, to school and district personnel and provide technical assistance as needed
• Maintain all electronic student records throughout the district
• Manage franklin county school’s student records management partner account (scribbles)
• Integrate data from the district’s student information system into the district’s assessment program.
• Actively participate in local and regional educational conferences with emphasis on data management and state reporting
• Work with school and district leadership in the teacher evaluation process, including managing the online testing platform for district end-of-course exams (EOCS), creating end-of-course exams in the testing platform, and calculating teacher assessment scores.
• Coordinate with the director of adult education concerning training and procedures for adult education and submit data to department
• Manage the focus analytics platform and the focus online enrollment and re-enrollment application
• Serves as management information systems (MIS) lead as a member of the panhandle area educational consortium (PAEC) MIS director’s team.
• Attend meetings, provide support and input to other districts.
• Create and maintain custom reports as needed by the district.
• Analyze the reported instructional time, enrollment practices, and attendance practices at schools for compliance with state statute for funding under the program.
• Inform the district of any findings.
• Provide FTE records to the district for auditing and verification purposes
• Assist with preparing the school(s) student calendar
• Attend meetings on-site and virtually with franklin county school district executive leadership and key employees as requested
• Coordinate the assignment of the identification numbers via the department single sign-on (SSO) process and requirements
• Assist with the FTE forecast process
• Manage the department single sign-on administration portal for the district
• Serve as the enterprise resource planning (ERP) security manager for the district (currently skyward), including oversight of user authentication, password policies, and role-based access. Provide user login support, including password resets and account access issues, in compliance with district security standards.
• Serve as the student information system security manager for the district (currently focus), including management of user access, password protocols, and account lifecycle.
• Ensure secure handling of login assistance, password resets, and account access in accordance with security, data privacy requirements, and family educational rights and privacy act.
