District Fax Solution

The Vendor is required to provide a secure, reliable, and scalable fax solution to replace or modernize its current fax infrastructure.
- The solution must support both inbound and outbound faxing while integrating with existing district systems.
- The goal is to modernize and streamline fax communications while maintaining reliability, security, and ease of use.
- Provide, implement, and support a fax solution that includes:
• Migration/porting of existing fax numbers
• Integration with existing Toshiba copier devices for scan-to-fax functionality
• User access via web-based and/or desktop applications
• System configuration, testing, and deployment
• Training and documentation for staff
• Ongoing technical support and maintenance
- Solution must meet or exceed the following minimum requirements:
• Support a cloud deployment model
• Support porting of all existing fax numbers (39 lines)
• Handle current and scalable fax volume (~36,000 pages annually)
• Integrate with Active Directory for authentication and user management
• Deliver incoming faxes to a designated network shared folder (not email-based delivery)
• Allow users to send faxes via:
o Desktop application
o Existing Toshiba copiers (scan-to-fax capability)
• Shall include security features including but not limited to:
o Encryption of data in transit and at rest
o Role-based access controls and authentication through Active Directory
o Audit logging and reporting capabilities
• Support data retention, archiving, and backup capabilities
• Disaster recovery capabilities
