The Vendor is required to provide golf course management software at six city-owned golf courses.
- Requirement:
1. Daily operations
• Ability to schedule golfers using a daily tee sheet
• Online tee time booking engine
• Staff able to book tee times at all six golf courses from any location
• Full, real-time access to create tee times, schedule outings, block off times for maintenance and closures
• Check in golfers and provide receipts
• Process and record all daily sales
• Ability to set multiple fees and tax schedules
• POS and bar code scanning system for merchandise and gift cards
• System allows for multiple users (employees)
• Ability to access golf courses remotely through password protected log-in
• Provide a website for the golf section
o Pages for each golf course
o Pass and gift card sales
o Tracking of users
o Marketing ability
o Ability for staff to make real time changes to load program information, forms, photos
• Live support to troubleshoot issues
• Ability to add booking fees, prepay, and charge no shows online
2. Pro shop operations
• Inquiry by member phone number or name
• Tracking of a golfer’s purchases, rain checks, no shows, etc.
• Tracking by month-to-date and year-to-date the number of times a golfer has played
• Recording date golfer last played3
• Integration of POS cash drawer and receipt printer
• Bar code input with the POS function
• Can deactivate gift cards and adjust gift card numbers
• Allows indefinite user-defined transaction codes for green fees, cart rentals, club rentals, merchandise, etc.
• Allows multiple selling prices and selling price overrides
• The ability to mark-down or mark-up an item by percent or whole dollar amount
• Permits trade-in of item against the purchase of another item or service
• Automatically generates a rain check
• Rain checks must be reported separately from daily sales to balance properly
• Permits redemption of gift certificates during transaction settlement
• Maintain credit book with a detailed history of how credit was earned on-line at pos.
• Must include ability to use that credit at the transaction settlement
• Dynamic pricing capabilities
• Integration with a starter tablet
• Ability to track cart numbers, start times, turn times, etc.
• Cut and paste tee times
• Bulk book league play on multiple days/times simultaneously
• 9 hole and 18 hole tee sheet views with turn times
• Print physical tee sheet copies to be used during events
• Create and print cart signs and scorecards for outings and events
3. Gift cards
• Utilize gift cards as currency to purchase rounds of golf, carts, and merchandise
• Allows issue of gift certificates in both single and batch modes
• Issue gift cards to users
• Tracks use and deducts or adds to balance in real time
• Gift cards must be reported separately from daily sales to balance properly
• Ability for users to track their balances through automated system or web site
• Create digital gift cards with a bar code scan able on a mobile device
4. Customer database and communication
• Send mass email messages for marketing with a limit of at least 120k people per course per month
• Add customer photos to each account that are visible during the check in process
• Track no shows and save the record on customer account
• Associate pass cards, gift cards, and rain checks with a customer account
• Send automated text message tee time reminders 24 hours in advance
• Only require customers to opt in to text and email communications once, not once per course.
