The Vendor is required to provide housing software for include:
- Requirements
• Support at least 100 internal users.
• Least 15,000 applicants and 10,000 residents.
• Least 1,000 owners and landlords.

• All software modules should have online help.
• Menus, screens, entry fields, cursor movement, function and special keys, prompts, data editing, and terminology must be standardized across the entire software.

• The ability to mask social security number (SSN) on reports and documents, when displayed on the screen or when printed, faxed, or exported to an electronic format.
• Mask employer identification number (EIN) on reports and documents, when displayed on the screen or when printed, faxed, or exported to an electronic format.
• Allow searching using one or a combination of the unit number, address, lease date, termination date, SSN/tax id, resident id, resident name, etc.
• Group documents and create document packages for printing, emailing and mailing to clients.
• Fully integrated document imaging system with the ability to upload, archive, view, delete, print, email, and fax documents directly from the system.
• Integrate with a document management software.
• Paper documents to be scanned and attached to all user profiles.
• Label scanned documents on import.
• Integrated appointment calendar for applicants, residents, inspectors, landlords, etc.
• Full history tracking of all appointments for applicants, residents, inspectors, landlords, etc.
• Appointment calendar that can produce letters for easy appointment notification.
• Appointment calendar to be exported into outlook.
• Must be compliant with current ADA standards.
• Records must be locked during transactions so different users cannot update the same record at the same time.
• Administrative tools to view audits for the application and database use.
• Verify all new applicants against current and former housing clients in order to prevent duplicate applicants.
• Use a combination of fields to verify that new applicant isn’t a duplicate.
• Use “fuzzy” search logic with results prioritization using a tool such as, elastic search, Soundex or something similar to assist with preventing duplicates.

• Letter templates with ability to add or change information on the letter and auto-populate with data variables from case.
