The Vendor is required to provide inmate tracking system, highlighting its core functionalities, scalability, and compatibility with the current system.
- Inmate information management:
• Capability to store and manage comprehensive inmate profiles, including personal details, booking information, medical records, behavioral history, and visitation history.
• Ensure data integrity and confidentiality through secure data management protocols.
- Real-time tracking:
• Real-time monitoring of inmate location within the facility, based on the inmates assigned location.
• Tracking of an inmate’s movement outside of our facility while they are being transported (e.g. Court, doctor’s appointments, etc.)
• Auto notate that an inmate is out of the cell if assigned to a temporary location during security checks, rounds, meals, etc.
• Ability to establish rules on inmate movement that will notify staff if an inmate has been out of their housing too long (e.g. Rec, visitation, etc.)
• System shall support the use of display monitors at each housing unit (pod) entrance that provide a clear visual of inmates currently authorized to be out of the pod, including identification and assigned activity or temporary status, to enhance staff awareness and accountability.
- Security measures:
• Implementation of advanced security measures to safeguard inmate data and prevent unauthorized access.
• Encryption methods and access control mechanisms to ensure data confidentiality and compliance with privacy regulations.
- Integration and compatibility:
• Seamless integration with existing jail management system (“JMS”) and any future JMS with the use of a 2-way API.
• Support for various devices and platforms to ensure logical interoperability and ease of use for staff members.
- Reporting and analytics:
• Facility level reporting tools to build and generate custom reports on inmate activities, incidents, and trends, facilitating informed decision-making and resource allocation.
• Analytics capabilities to identify patterns, trends, and potential security risks within the facility.
• Report filtering by date, time, jail id number, booking number, inmate name, housing unit, and deputy badge number.
• Automation capabilities to generate and send report via email to select recipients.
• Ability to do concurrent logs.
• Exportability of data into multiple file formats, such as pdf, excel, html, and xml to be printed and saved to a local area network.
• Software must have a custom workflow builder at agency user level, with ability to name any workflow with custom facility naming and custom facility prompts and timers with the ability to create non-inmate workflows and checklists.
