The Vendor is required to provide a comprehensive Case Management System (CMS) for the Office.
- The CMS securely stores and provides access to confidential client- and case related information, as well as offers ad-hoc reporting tools for identifying and tracking key metrics and trends.
- System:
• Develop a back-end database capable of storing data points underlying the Office’s workflow and reporting requirements for both the Office’s criminal defense and family court divisions;
• Develop a front-end user interface accessible from PC, laptop, tablet, and phone that allows attorneys, investigators, and staff to efficiently enter and retrieve client- and caserelated information for both the Office’s criminal defense and family court divisions;
• Train Office users in managing and using the CMS including data entry, data retrieval, reporting, and troubleshooting;
• Provide ongoing support resources to assist with issues that cannot be resolved by the Office’s own onsite technical specialists;
• Provide a flexible user interface, configurable home page, and user permissions that are customizable to different work units within the Office;
• Provide forecasting tools that allow visualization of data to help the Office analyze current and future expected effort on cases and case outcomes;
• Provide intake tools that are configurable to best match the client/case data entry workflow and processes for both the Office’s criminal defense and family court divisions;
• Provide prescreen and conflict checks as part of the case creation process;
• Provide tools that allow the Office’s attorneys and staff to easily manage their own workloads and track assignments and tasks across work teams;
• Provide tools that allow weighting of cases based on complexity or workload burden to help the Office with proper case assignment;
• Provide user calendars and scheduling of appointments, events, tasks, and deadlines;
• Provide report building tools that allow creation of custom searches across multiple elements in the database;
• During onboarding, provide assistance with creation of customized reports needed for required grant reporting;
• Provide the ability to track a wide variety of case outcomes by date achieved;
• Provide a document management system that includes generating and storing paper based and electronic documents;
- Data migration services shall include moving data from the existing systems to the proposed system, programming and consultation time needed to develop specifications, examination of sample data, writing conversion programs and testing.
