CRM Software System

The Vendor is required to provide CRM software system for include:
- Platform architecture and access
• The system shall be a fully cloud-hosted, software-as-a-service (SaaS) platform requiring no local server installation or client-side software.
• Unified public-facing portal through which residents access all department services, including registration, memberships, admissions, reservations, and payments.
• The public portal shall be fully accessible from standard web browsers on desktop and mobile devices without requiring plugin installation.
• Dedicated native mobile application for both ios and android platforms.
• A mobile-optimized website alone does not satisfy this requirement.
• The public portal and mobile application shall support digital check-in credentials readable by facility access hardware, including compatibility with apple wallet and google wallet passes.
• The system shall maintain a documented uptime of 99.9% or greater, with evidence of this standard available upon request.
• Capable of handling high-volume registration periods — such as seasonal program opening days — without performance degradation or service interruption.
• Provide a fully functional sandbox or test environment for departmental staff use during implementation and on an ongoing basis post-launch.
- Integration capability
• The system shall integrate with the city of rogers' existing Tyler technologies new world financial system for revenue export, including support for scheduled flat-file, API, or SFTP transfer as determined during implementation.
• Integrate with the city existing civic plus municipal website platform to redirect public portal traffic seamlessly.
• Support integration with third-party background check platforms used for volunteer and coach screening.
• Integration with third-party benefits verification programs, including fitness reimbursement programs (e.g., silver sneakers or equivalent).
• Have a documented roadmap for integration with field lighting control systems used to automate lighting schedules for league games and facility rentals.
• Disclose all integrations delivered through certified third-party partners rather than native platform functionality.
