M365 Email Signature Standardization Solution

The Vendor is required to provide m365 email signature standardization solution implementation approach, service levels, administrative capabilities, and support model.
• The solution shall be compatible with Microsoft 365.
• Maintain consistent signature rendering across supported email clients, including desktop, web, and mobile platforms.
• Saws communications staff to manage and customize standardized email signature templates.
• Support fully customizable signature templates, including direct editing of html.
• The upload and use of saws-developed html signature designs.
• Automatically apply email signatures to messages sent from outlook desktop, outlook on the web, and supported mobile email clients.
• Integrate with Microsoft ENTRA id to synchronize employee profile data.
• Allow end users to edit designated prepopulated fields, including name, job title, department, and mobile number, through a controlled self-service interface.
• Support preloaded, standardized location address options that users can select, as permitted by saws.
• The centralized management of promotional banners or campaign content appended below the signature, without requiring end-user action to deploy changes.
• Allow end users to update and activate revised signature content through self-service when permitted profile information changes.
• Optional legal disclaimer language for designated departments or user groups.
• Controls for inclusion or exclusion of signatures in internal replies and forwards
• Different approved signature versions for internal and external recipients, including the ability to suppress selected user contact fields, such as mobile phone numbers.
• Signature assignment by Microsoft ENTRA id security group and attribute based rules.
• Secure single sign-on using Microsoft ENTRA id.
• The solution shall provide role-based access controls, at a minimum including:
o Administrator – may create and manage users, roles, authentication methods, and integrations.
o Editor – may create, edit, and assign signatures and campaigns.
o User – may edit only their own permitted profile details through self-service.
