The Vendor is required to provide comprehensive transportation software for include:
1. Routing and student transportation management software
• Provide a searchable link accessible through the district’s website for parents and guardians to obtain student bus route and transportation information;
• Integrate with the district’s student information system (sis), currently frontline sis, including automated nightly imports and synchronization of student data in a one roster compatible format;
• Support route planning, route optimization, student assignment management, and transportation operations management;
• Include reporting functionality necessary to support all required agency transportation route services and operational reporting requirements.
• Integration with district portal, application must be accessible through SSO (single sign on).
2. GPS tracking and fleet visibility system
• Real-time vehicle location tracking;
• Parent-facing application allowing parents and guardians to monitor bus arrival times and stop locations;
• School-facing application or dashboard functionality allowing campuses to monitor route arrivals and departures;
• Integration with the routing software for live route management and updates;
• Capability to support the district’s fleet size and operational requirements.
• Integration with district portal, application must be accessible through SSO (single sign on).
• All data must be archived for at least three full school years.
3. Student tracking systems
• Student ridership tracking on special education buses;
• Integration with Medicaid reporting requirements and related reporting system capabilities;
• Optional tablet devices or equivalent onboard hardware solutions.

4. Field trip management system
• Allow authorized users to submit transportation requests electronically;
• Capture all required trip information, including applicable fund and account numbers;
• Support approval workflows and trip scheduling;
• Generate financial and billing reports for the district’s finance department;
• Provide monthly reporting capabilities to facilitate internal account reconciliation and transportation cost allocations.

5. Fleet maintenance management software
• 540 school buses; and
• 350 additional district vehicles and equipment units, including police and white fleet vehicles.
6. Separate pricing for non-bus fleet services
• Separate hardware and software costs;
• Licensing and subscription costs;
• Fleet logistics and operational capabilities applicable to non-bus vehicles;
• Any implementation or support differences between school bus and non-bus fleet services.
7. Implementation, training, and support
• Implementation timelines;
• Training options for district staff;
• Technical support availability and response procedures;
• Software update and maintenance processes;
• Data migration and integration support services.
