The Vendor is required to provide project management solution that meets data protection and integration standards.
- Licensing and scalability
• User base: university anticipates a need for approximately 235 to 275 licenses for users with the capability to manage, create, share projects and tasks with other users.
• Flexibility: the contract must allow for the ability to increase or decrease license counts as needed throughout the contract life.
• Collaborator model: respondents should specify their model for guest collaborators, as university requires the ability for licensed users to work with unlicensed users on project tasks including the ability to edit, comment, and view projects they are assigned to.
- Implementation and migration
• Data migration: support for migrating historical data, formulas, dashboards, and automations from existing systems via comma-separated values (csv) or direct application programming interface (API).
• Transition overlap: respondents should account for a necessary "overlap" period between the new solution and legacy systems to ensure no loss of project continuity.
• Timeline: respondents shall provide a timeline for completion, including but not limited to project kick-off, migration needs, implementation, training, and go-live date.
• Respondents shall provide the university with temporary access to a sandbox or demonstration environment for evaluation purposes.
• The environment must enable reviewers to explore key features, workflows, and administrative functions of the proposed solution.
- Compliance and regulatory requirements
• Disclose any artificial intelligence (AI) or machine-learning functionality embedded in or integrated with the solution (including generative AI features) and describe associated data use, data retention, and controls.
• All AI-related functionality and data handling must comply with applicable university policies and requirements.
• Solution must conform to web content accessibility guidelines (WCAG) 2.1 level AA (or higher) and respondent must provide accessibility documentation (e.g., voluntary product accessibility template and accessibility conformance report (VPAT/ACR) or equivalent) upon request and with the proposal.
• WCAG 2.1 level AA or higher to ensure the platform is usable by individuals with disabilities, including screen reader compatibility and keyboard navigation.
