The Vendor is required to provide for a comprehensive behavioral threat assessment tracking solution for district.
- This solution is expected to yield significant operational efficiencies by centralizing data that is currently managed via manual processes.
- Data Return/Destruction: Within thirty (30) days of contract termination, the Contractor must provide the District with a complete export of all data in a machine-readable format (e.g., API, CSV or SQL) and subsequently provide a written Certification of Destruction for all copies remaining in the Contractor's systems.
- Functional Reporting Requirements: The system shall provide authorized users with access to case status dashboards that reflect current data within 5 minutes of entry. The system shall generate configurable reports on threat levels, school sites, intervention statuses, etc. and support data export in CSV and/or PDF. It is mandatory that this system fully complies with established data security standards and maintains the strict confidentiality of all student documentation.
- Must have Single Sign-On (SSO): Mandatory support for Google SSO, OAuth2, or SAML.
- Ongoing System Data Export: To prevent vendor lock-in over the contract term, the system must support the extraction and export of District data in open, non-proprietary formats (e.g., API access (preferred), CSV, JSON, SQL) on an ongoing, on-demand basis by authorized District administrators.
- Scheduled Maintenance: Routine maintenance must be performed outside of standard District operating hours (e.g., weekends or between 11:00 PM and 4:00 AM ET). The Contractor must provide a minimum of 48 hours advance notice for scheduled downtime.
- Service Credits: If the system fails to meet the 99.9% uptime guarantee in any given month, the District shall be entitled to service credits applied against the next annual subscription invoice. (Offeror must include a copy of their standard SLA and service credit policy with their technical proposal).
- Must provide a clear in person training program (schedule and curriculum) designed for different types of users (e.g., System Admins, regular users, and view-only users), prior to go-live
- Customized Training Materials: Digital and printable system manuals, Quick Reference Guides (QRGs), and Standard Operating Procedures (SOPs) reflective of the agency’s specific workflows and configuration.
- System Administrator Training: Advanced training for IT and admin staff to understand how to manage users, security, system settings, and custom reports.
- Live, Instructor-Led Training (ILT): Interactive classes led by an instructor, either online or in-person. Initial training must be onsite.
- Train-the-Trainer (TtT): Special sessions to teach our agency's "Super
- Users," giving them the tools to train our internal staff later. On-Demand / Asynchronous Learning: A self-serve, always-available library of recorded video tutorials, interactive online modules, and help articles.
- Train-the-Trainer Sessions: Specialized instruction after the Initial Training for newly designated District staff to become internal trainers, inclusive of all training materials and readiness assessments.
