The Vendor is required to provide campground reservation management system for include:
- Reservation system requirements
1. The system should allow users to search for campsites by:
• Date, including same-day reservations
• Site type
• Specific site
• Campground area
2. The system shall allow customers to:
• Complete reservations online or via call center
• Securely process payments via credit card
• Modify reservations
• Cancel reservations
• Receive transaction confirmation
• Print reservation receipts
3. The system should support reservations for multiple campsite types, including:
• RV sites
• Tent sites
• Electric sites
• Primitive sites
• Other campsite classifications designated by park
- Visual mapping requirements
• The system shall provide a visual, interactive map of campground sites and park features.
• The map shall:
o Display individual campsites and campground areas
o Identify campsite types
o Display availability status by selected date
o Display future availability information, if available
• The system should provide detailed site information, including campsite amenities and specifications.
• Public-facing maps and reservation tools should not display personally identifiable guest information.
• The system should display only reservation status for reserved sites.
- Call center requirements
• The vendor shall provide a customer reservation call center.
• The call center should operate at a minimum from 8:00 a.m. to 10:00 p.m. eastern time.
• The call center shall support:
o Reservation booking
o Reservation modifications
o Reservation cancellations
o Customer service assistance
- Payment processing requirements
• The system shall securely process payments in compliance with PCI-DSS standards.
• The system should support automated enforcement of park cancellation and refund policies.
• For cancellations more than fourteen (14) calendar days prior to arrival, refunds shall exclude:
o Cancellation fees
o Transaction fees
o Applicable taxes
• The system shall clearly communicate refund calculations to customers during cancellation processing.
- System integration requirements
• Support payment gateway integration
• Provide API availability for future integrations.
• The system should be compatible with access control systems, including campground gate systems.
