The Vendor is required to provide email append software and optional value-added services to significantly improve the accuracy, completeness, and deliverability of email addresses in our database of alumni, donors, friends, and other constituents.
- Initial project volume:
• Full name (first, middle, last)
• Last known mailing address (street, city, state, zip)
• Date of birth (where available)
• Graduation year and class year (where available)
• Existing email address (if any)
• Other available identifiers as mutually agreed
- Required deliverables:
• Primary appended email address
• Alternative and secondary email address
• Match confidence score or quality tier for each appended email (e.g., high/medium/low or percentage-based)
• Data hygiene and validation status column(s)
• Suppression flags (e.g., deceased, undeliverable, spam trap, role-based/generic email)
• Timestamp of append and verification
- Email hygiene and validation standards:
• Removal or flagging of known bad domains, spam traps, honeypots, and disposable email addresses.
• Elimination or flagging of generic/role-based emails
• SMTP-level verification and deliverability testing to minimize hard and soft bounces.
• Optional but strongly preferred: email eco-check and re-verification service for university existing email addresses to identify currently active vs. inactive ones.
• Best-in-class matching logic that leverages multiple data sources while maintaining ethical standards.
- Optional value-added services:
• Phone append or additional enrichment (e.g., employment, education updates).
• Ongoing or subscription-based append services for future batches.
• On-demand lookup portal or API access for university staff.
