Electronic Records Management System Products and Services

The Vendor is required to provide to resell hyland's electronic records management product (ERM) and services, support implemented software, offer skilled staffing for ongoing support and enhancements and deliver additional projects when requested by the county.
- Hyland Value Added Reseller (VAR) services:
• Provide Hyland licenses, annual maintenance renewals, subscriptions, and other Hyland services at the County’s request (e.g., Hyland technical reviews and Hyland training).
• Quotes for additional products and services must be provided within five days of a request by the County.
• Quotes for renewal of Product Maintenance or Product Subscription must be provided at least 90 days before the renewal date.
• Work with the County and Hyland to ensure that County-owned OnBase products remain covered by current Hyland maintenance and support.
• Maintain authorized partner status with Hyland and advise the County quarterly about updates, new features, and releases relevant to ERMS operations and strategy.
• Conduct annual major upgrade planning sessions and facilitate collaborative meetings to align timelines, testing, and rollout strategies with County stakeholders.
• Review and summarize OnBase upgrade delta reports (version-to-version) to identify functional changes, configuration changes, deprecated features, and enhancements relevant to the County’s environment, including impacts to workflows, scripts, and APIs, with recommended adoption actions.
• Perform an annual health check of the County’s OnBase footprint (front end and back end) and provide a report identifying gaps and improvement opportunities.
• Conduct an annual inventory of OnBase module licenses to assess usage, identify candidates for decommissioning, and support cost-saving opportunities.
• Provide a minimum of two annual passes to Hyland’s Community LIVE or TechQuest conference to support training and professional development for the County’s ERMS team.
