Multi-Course Golf Management Software System

The Vendor is required to provide multi-course golf management solution that at a minimum provides the following efficient and user-friendly solutions:
• Ability to support two municipally owned golf courses as individual locations.
• On-line tee time reservations from golf course website or third-party affiliate site.
• The city shall have the discretion to limit the number of available tee-times, and the time slots during which said tee-times can be scheduled.
• Network ready software (multiple computers at facility sharing one tee sheet).
• Integrated electronic tee sheet.
• Automated customizable email confirmations of bookings and cancellations
• Statistics reporting capability to allow city to generate numerous custom reports for budgeting and marketing purposes.
• Current delay and weather conditions editor.
• Create multiple administrators with varying access to the system.
• Remote access to the system by management.
• Reports to analyze all data.
• Remote access for creating, running and analyzing reports and data.
• Customer relationship management system with automated email marketing tools.
• Recognize and accept season pass photo id currently in use by the city.
• Integrated POS (point of sale) system with a complete back-office accounting system:
• Ability to accept and track all transactions, including but not limited to: online tee reservations, cash, credit or debit card sales, gift certificates, season passes and membership, green fee passes and discount cards or coupons.
• Full sales and account ledger tracking.
• Ability to interface with the city’s current financial management system, for electronic exporting of data in a format that can be easily imported into the current financial system.
• The city processes transactions on first data’s north network.
• The POS provided to the city must be compatible with the processing platform and it must be EMV certified or be able to connect with a gateway.
• Tolerant of communication problems and must be capable of continuing to collect fees, record sales and generate receipts even if the communications links are down.
