The Vendor is required to provide electronic research administration system (eRAS) lifecycle, including software capabilities, implementation services, integrations, data migration, training and change enablement, and ongoing support.
- Requirement:
• eRAS functional capabilities: functional requirements spanning the full research lifecycle, including proposal development, compliance checks/hooks, routing, sponsor submission support, term and condition negotiation/tracking, award setup, post-award administration, compliance, and closeout.
• Technical architecture and non-functional requirements: requirements related to hosting, environments, identity and access management, data security, integrations, logging, and compliance with institutional and sponsor-driven standards.
• Implementation and project management: expectations for the respondent’s implementation approach, governance, staưing, communications, risk and issue management, testing, and cutover activities.
• Training and change enablement: role-based training, adoption support, communications, documentation, and strategies to transition faculty and administrators.
• Support, maintenance, and service levels: post-go-live support model, service level expectations, release management, performance monitoring, and ongoing relationship management.
• Data migration: migration of data from legacy tools and repositories, including scope, approach, validation, and reconciliation, along with support for ongoing data access, a defined sunset/transition clause requiring full data export in nonproprietary formats at contract termination or upon request, and API-based capabilities to push, pull, and update data for seamless integration and long-term data portability.
• System integrations and interoperability: required integrations with campus systems and external sponsor platforms using secure, standards-based methods.
• Usability and workflow flexibility: respondent’s detail on their ability to provide a user-friendly eRAS with intuitive usability and configurable workflows that streamline research processes, automate routing and compliance, and deliver real-time visibility across the lifecycle.
• Assumptions, dependencies, exceptions, and exclusions: respondent’s assumptions, dependencies, constraints, and any exceptions to the requirements.
• Respondent deliverables: required project artifacts, documentation, and acceptance checkpoints.
