Workflow Documentation and Optimization Platform

Procure a subscription to a hosted workflow-capture and analysis platform, so that the City can (a) produce accurate, current, reusable process documentation from observed work rather than manual write-ups, (b) identify measurable inefficiencies, including rework loops, redundant steps, hand-off delays, and unnecessary system switching across in-scope workflows, and (c) maintain a Cityowned, searchable workflow library that City staff can extend without further Contractor involvement.
- Ability to capture process execution as performed by staff, including task/desktop-level capture of user interaction across multiple applications.
- Ability to automatically generate step-by-step process documentation with screen evidence from captured executions.
- Ability to capture workflows spanning web applications, desktop applications, and terminal/legacy applications used by the City.
- Ability for City staff to start, pause, and stop capture themselves, with clear on-screen indication that capture is active.
- Ability to restrict data collection to what the City authorizes, including exclusion of specified applications, URLs, windows, and fields.
- Ability to configure masking/redaction of on-screen personal information before data leaves the endpoint, where supported.
- Ability for administrators to review and delete captured content prior to publication.
