The vendor is required to provide transcription services for public meetings as needed.
- Meetings are scheduled as needed Monday through Friday between the hours of 9:00 am and 4:00 pm, 90-minute approximate meeting duration.
- Vendor shall provide an experienced reporter to record and transcribe minute’s verbatim, equipment, and materials necessary to provide transcription service for authority public meeting.
- Vendor shall arrive 15 minutes prior to scheduled meeting time and prepare for transcribing for in-person meetings.
- Vendor shall provide an electronic copy within five (5) business days following the meeting date to the designated meeting coordinator. In some cases, the deliverable may be needed in one (1) or two (2) business days. The below bid form provides a line to bid on an expedited option.
- Each transcript page must be 8½” x 11” in size, with at least 21 lines per page, have black type, time new roman font, 12 pitch. Margins on each transcript page may not exceed one inch on the left side of the page, one half inch on the right side, and one inch on the top and bottom. Paragraphs will be justified.
- Each transcript must contain a title page or pages showing the meeting date, time, and place; all in attendance; the procurement officer; the names of each presenter; and the names of the reporter responsible for the transcript.
- Documentation for each meeting must be numbered and followed consecutively in subsequent pages.
- Ensure transcripts are free of misspelled words, omitted words, typographical errors, and other similar errors.
