- Dictation System Requirements
• Required to provide a toll-free telephonic dictation system.
• Dictation system is required to accept signals from touch-tone telephones
• Dictation system must provide a verbal message of instructions to the caller.
• Dictation system must include automated character counting.
• Dictation system must be able to track reports by date, claimant name, case number, and dictator name. The system must also track both the dictated log and the transcribed log. The system must be searchable by these same identifiers.
• Dictation system must be able to create a database of department dictator names, mailing addresses, email addresses, phone numbers, license numbers, and license expiration dates.
• Dictation system must provide each dictator with a unique login and automated protocols to confirm their identity each time they log in.
- This includes ensuring strong authentication controls (username and passwords/MFA) and authorization controls (what the user can and cannot do such as read/write, modify, delete) are in place and audit logging of users’ actions.
- Website passwords cannot be their name and must consist of at least eight (8) digits including letters and at least one (1) number or special character.
- Transcription logs will contain a summary of all transcriptions performed during each billing period and will accompany each invoice submission.
