The Vendor is required to provide transcription services for include:
• The written documents must be returned to the department, bureau, or unit submitting the audio file in a timely fashion.
• The written transcription must be returned as a MS word document.
• Dictation may be delivered to the vendor from the department in a variety of means including but not limited through a secured file transmission software, telephone lines, cassette, video, digital or cd files.
• Provide all necessary software, installation and training at no cost to the providence police department.
• The vendor agrees not to copy or disseminate to any unauthorized persons any materials received from the providence police department.
• The vendor agrees to return to the providence police department any materials received from the department to be transcribed.
• The vendor will guarantee that all transcriptionists are background checked and will ensure that all transcriptionists sign confidentiality agreements.
• Maintain an accuracy rate of at least 98.5%.
• All billing must be calculated on a 65-character line formula.
• Billing invoices shall be submitted once a month, and shall outline all work invoiced by the date, officer's name, job reference, number of lines, and total cost for each individual job.
• For retention purposes, the vendor must maintain a fully functional disaster recovery site that will ensure the security of all data.
