The Vendor is required to provide comprehensive third-party family and medical leave act (FMLA) administration services.
- FMLA Event Reporting & Communication
• Implement a system for accurate and timely reporting of FMLA events.
• Ensure ongoing communication with agency HR at each location.
- Training & Support
• Provide training to management staff on FMLA recognition, compliance, and processes.
• Establish manager log-in access to monitor department staff FMLA status and reports.
- Document Management
• Provide secure document storage in compliance with federal and state requirements.
• Ensure confidentiality and proper record retention practices.
- Case Management
• Manage employee FMLA applications within all required time frames.
• Determine employee eligibility under FMLA and applicable state laws.
• Track FMLA leave usage (continuous and intermittent) and communicate with agency HR.
- Technology & Customer Support
• Provide an online system and/or portal for staff and HR to access FMLA records.
• Offer technical and customer service support for managers and HR staff.
- Compliance Oversight
• Guarantee compliance with all FMLA requirements and regulations.
• Provide regular status and compliance reports.
- HIPAA Compliance & Transition
• Ensure all services are HIPAA-compliant.
• Manage participant transition from agency current system without interruption of service.
