RFP Description

The vendor required to provide third-party theatre planning and technical design consultants to provide independent, operator-informed advisory services throughout programming, design, documentation, and implementation.
- Programming and operational planning
•    Lead performing arts programming analysis to define:
o    Venue mix (main hall, secondary venue(s), support spaces)
o    Seating capacities, formats, and flexibility
o    Touring vs. resident use balance
•    Develop user needs and operational requirements based on:
o    Anticipated programming mix
o    Staffing models
o    Event turnover and scheduling
•    Advise on front-of-house, back-of-house, and support space relationships
•    Coordinate with county stakeholders and potential operators to validate assumptions
•    Prepare written theatre program narrative for use by the architect and county
- Theatre planning and technical design advisory
•    Provide theatre planning guidance during concept and schematic design
•    Advise on:
o    Stage configuration and dimensions
o    Fly systems and rigging concepts
o    Orchestra pit configurations
o    Acoustic coordination (in collaboration with acoustician)
o    Technical support spaces (shops, storage, loading)
•    Review architectural layouts for:
o    Functionality
o    Sightlines
o    Performer and crew circulation
o    Ada and code compliance related to performance spaces
•    Serve as owner advocate to ensure design intent aligns with operational reality
- Technical systems definition and coordination
•    Develop and review performance criteria for:
o    Theatrical lighting systems
o    Rigging systems
o    Audio systems
o    Video, projection, and broadcast infrastructure
o    Stage machinery and specialty systems
•    Coordinate technical requirements with:
o    Architect
o    Acoustician
o    AV and theatre systems engineers
•    Assist in defining budget-appropriate system strategies
•    Evaluate alternates and options for cost, flexibility, and lifecycle impacts
- Design review and documentation support
•    Participate in design reviews at key milestones
•    Review drawings and specifications for:
o    Technical completeness
o    Constructability
o    Touring compatibility
•    Identify scope gaps, conflicts, or operational risks early
•    Support preparation of bid packages and procurement strategies for theatre systems
- Budget, cost and phasing advisory
•    Assist the county and development coordinator with:
o    Budget alignment for theatre-specific scopes
o    Cost prioritization and value-based decision-making
•    Evaluate:
o    Phasing strategies
o    Deferred scope options
o    Future-proofing considerations
•    Provide input on operational cost implications of design decisions.
