The Vendor is required to provide third party recording data capture and double key verification services for include:
• Download a daily extract via a folder on a county ftp service.
• Data will include a text file containing the document's index data, and tiff image files of all image files.
• Also receive daily emails notifying them that the extract is ready.
• Shall verify the parties on the document images provided (including grantor, grantee, mortgagor, mortgagee, etc.), book and page, number of pages in each document, township, block and lot where provided in the document image, and resolve all inconsistencies between the contractor’s indexing and verification so that an accurate presentation of the index information shall occur.
• Compare the county’s presentation of the index information with the successful proposer’s own determination of the index information and formulate an exceptions report listing all discrepancies between the county’s index information and the successful proposer’s determination of the same.
• The county has averaged 64,000 documents per year since 2023, all of which could potentially be verified during a year.
• Will be required to provide a training policies and procedures manual that documents their company’s performance before the commencement of services.
• Describe all reports, including samples that may include feedback, suggestions, proposed changes, or discrepancies.
• All documentation and products produced in relation to the delivery of contract services are property of the county and shall be turned over to the county immediately upon receipt of a request from the county solicitor.
• Provide information detailing their facilities’ security measures in relation to protecting the confidentiality of county’s information located within the facility with their proposal submission.
