The Vendor is required to provide third-party administrator (TPA) for the agency’s facility maintenance and repair projects.
- Requirement:
• Provide, manage, and host an online task order system for the submission, modification, and tracking of all work.
• Must ensure all authorized agency users have the capability to submit and modify an online task order.
• Must ensure modifications to task orders and projects are only permitted when submitted by the agency or authorized personnel associated with that task order and project.
• Must ensure the task order system is accessible to the agency, das and any other entity that require access to perform the work 24 hours per day, seven days per week, except during maintenance periods.
• Must create the task order system and manage it to ensure it collects all task order information, including at a minimum: agency name, agency contact (name, title, email, and phone), task order address, repair or maintenance type, funding date, project scope of work meeting date, expected work schedule, estimated work cost, detailed description of the task order requirements, and RTP number.
• Must ensure the task order system assigns a unique task order and project id for each task order.
• Must ensure the task order system can store notes or attachments with each task order, including tracking information such as date and author.
• Must ensure the task order system notifies das procurement services via agency and contractor staff when a task order is submitted, modified, or closed.
• Must ensure das procurement services has full access to the task order system and that the system permits das to review all agency task orders and work updates.
• Must ensure once a task order is scoped and transformed into work, the task order system must collect additional information, at a minimum: assigned subcontractor, subcontractor address and contact information (name, title, email, and phone), work bid cost, and updated work schedule.
