Website and Portal Replacement Services

The vendor is required to provide website redesign and implementation services to redesign agency public-facing website for sharepoint, ensuring accessibility, mobile optimization, and user-friendly navigation.
- Internal portal migration:
• Migrate departmental portals to sharepoint, providing templates for ongoing updates.
• Design templates and components for ongoing use by agency teams.
- Microsoft teams integration:
• Integrate the new sharepoint environment with existing Microsoft team’s channels at both the school and division level, enhancing staff collaboration across agency.
• Students do not currently use Microsoft teams and are not expected to use it at this time; students maintain accounts in both office 365 and google workspace for education (education fundamentals, formerly g-suite for education) to support their learning.
- Communication consolidation:
• Agency is seeking to consolidate and enhance stakeholder communication as part of this project; this may include solutions for centralized parent notifications, student absence reporting, and other value-added tools that facilitate effective communication among internal and external stakeholders.
• Proponents with solutions that provide integrated tools to create a more seamless, unified touchpoint for parents are encouraged to identify these as optional items within the project roadmap/multi-year strategy.
- Material disclosures:
• Agency currently operates in a sharepoint-based environment; the proponent must ensure that migration and integration minimize downtime and maintain existing data integrity; in addition to
Sharepoint for websites and portal pages, agency uses the following systems:
• My schools ask: student information system
• School messenger communicate: parent notifications
• Edsby: school/teacher-to-parent communication
• Safe arrival: unexplained absence notification
• Kev MySchoolCash online: online payments integrated with SIS and ERP
• Proposals must include adherence to SharePoint Online, compatible system integration, and minimal downtime plans.
