RFP Description

The Vendor is required to provide web design and development firms to submit proposals to conduct a comprehensive assessment, provide strategic direction, and redesign the library’s website for the enhancement of agency digital presence.
- Library serves a population of 45,000. As more people move into our communities, visits to the agency website (approximately 75,000 in 2025) will continue to increase. The website will also play a key role during our two upcoming renovations.
- The goal is to assess industry standards and peer websites, deliver actionable options and strategic recommendations, and, upon approval of the proposed recommendations, support the design and possibly hosting of the redesigned website.
- The new website will:
•    Provide an improved customer experience
•    Provide intuitive navigation for customers
•    Seamlessly integrate with third-party products, i.e. Plugins
•    Be configured to facilitate intuitive content management for Library staff
- Optional Enhancements / Innovation Opportunities
•    Additional features, tools, or integrations not explicitly requested but beneficial to agency.
•    Innovative approaches to improve long-term sustainability, accessibility, UX, or service delivery.
•    Any additional functionality the platform can support, with identification of any additional costs if applicable.
- Professional Services to implement the agency website project deliverables which may include (but are not limited to):
•    Mobilization and Planning
•    Requirements Analysis
•    Design Validation and Technology Environment Setup
•    Website Development and Content Migration
•    System and User Acceptance Testing
•    Support and End-User Training
•    Transition to Production and Go-Live
- Licensing, Hosting, Maintenance and Support Agreements
•    Post-go-live maintenance and support (following warranty period):
•    Description of services included with support agreement
•    Number of monthly support hours included
•    Whether unused support hours may be carried over to subsequent months
•    Any third-party tool licenses (add-ons to support requirements)
•    Website hosting services
- Patron Interaction Features
•    Appointment booking (e.g., tech help, memory lab)
- Forms & Content Management
•    Forms saved in management interface and forwarded to staff
•    Dynamic/conditional form features
•    Posting temporary emergency/closure notices
- Media & Data Management
•    Automatic media optimization
•    Availability of website analytics
- System Updates
•    Pre-deployment testing of plugin/software updates
