The Vendor is required to provide the grant research, writing and management services to assist the Village with identifying eligible grant opportunities; developing and submitting grant funding proposals; and supporting post-award management and reporting.
- Consultant shall undertake the tasks necessary to prepare a strategy for the village to aggressively pursue grant funding from multiple sources.
• Activities include, but are not limited to, conducting meetings with village department heads and other key staff to assess the following:
1. Village’s past and current grant funding efforts.
2. Current and anticipated programmatic and capital needs.
3. Other priorities as established by the board of trustees.
- The consultant will provide the village with such a list of potential grant funding opportunities no less than weekly.
- Consultant shall coordinate with funding agencies/organizations to identify eligible projects or programs, minimum eligibility and applicant requirements, and answer questions/seek clarification both prior and during the application process.
- Consultant shall solicit stakeholder support in the grant preparation process as necessary (e.g. conduct necessary research, work with village staff to obtain facts and figures as may be required to develop the proposal narrative and budget, etc. and for seeking letters of support for officials, agencies and other interested organizations).
- Consultant shall develop a grant application or funding proposal meeting all requirements of the grant program that is competitive, free of errors, and comprehensive.
- Provide grant management support. At a minimum:
• Consultant shall act as a liaison on behalf of the Village with funding agencies to track applications (e.g. where the application/proposal stands in the review process, anticipated award announcement dates, etc.).
• Consultant shall coordinate with the Village to provide any supporting material that may be requested during the grant review process.
• Consultant shall support village staff in post-award management and scheduled reporting to the granting agency (i.e. tracking reporting deadlines, and development and submittal of reports to meet grant program requirements).
• Consultant shall provide the village with a grant status report and detailed accounting of work performed for the village upon submission of an invoice, but no less than monthly. At a minimum, the monthly report will include: grants recommended; grant applications in progress; grant applications submitted; grant proposals awarded; and grant proposals rejected.
