The vendor is required to provide grant writing and consultation in respect to all aspects of the grant development process for agency.
- The successful proposer will perform in a professional manner the following service:
• Research, preparation, submission and appropriate follow up for all targeted governmental and non-governmental funding applications and the maintenance of an accurate system to track grant programs.
• Conduct proactive research to identify grant opportunities aligned with the mission, programs, and goals of the village.
• Evaluate and recommend the most strategic opportunities for submission.
• Prioritize opportunities based on funding potential, alignment and likelihood of success.
• Maintain a calendar of upcoming grant deadlines and reporting requirements.
• Write grants for the village.
• These grant opportunities may be from federal, state, corporate, national or local foundation grant opportunities.
• Consultant will assist with evaluation plans, and obtaining data needed to support proposals.
o Draft all components of the grant proposal including narrative goals, logic models, evaluation plans, and letters of support.
o Develop detailed, funder-compliant budgets and justifications, including building in consultant reimbursement when allowed.
o Customize each proposal to match funder priorities and requirements.
• Demonstrate success in winning grants from a wide variety of funding sources.
• Assess grant opportunities targeting the strategic grant priorities outlined in the village’s development strategy.
o Provide review services of grants that are prepared and identified by the village.
o The purpose of such a review process is to improve the grant document and give constructive criticism or improvement.
o Provide technical assistance with the grant seeking and management process such as assistance with duns and SAM registration.
o The proposer must dedicate a senior level program manager who will provide grants management, as needed and if required.
o The cost proposal shall include additional cost structure for grant management services.
o This cost will not be included in the evaluation.
o Provide monthly detailed reports to the village’s authorized representative and other interested parties on the progress of grant writing services.
o Maintain a list of all grant writers on staff and on contract and update the village of any changes in a timely fashion.
o Maintain a process of quality control and copy editing for all written documents submitted to the village, including draft documents.
o Facilitate meetings, strategic planning sessions, and provide subject matter expertise on special projects as needed.
o Facilitate strategy sessions with internal stakeholders to align goals, timelines and necessary data. • develop a clear grant plan and timeline for each application.
o Determine and guide what information, documents and metrics are needed.
• Coordinate with leadership, program staff and finance teams to gather necessary data, and documentation.
o Communication with collaborators or partners as needed for joint applications of MOUs
o Coordination with the director of community development to obtain board resolutions or internal approvals if required by the funding agency.
• During the final submission process complete all steps for the submission including, ensuring that all compliance documents are included and accurate.
• Serve as the point of contact with the funder during the submission process in collaboration with the director of community development.
• During the post submission follow-up monitor all application statuses and funder communication, providing additional documentation or clarifications. keep the village appraised of funding outcomes and provide further recommendations to the next steps in the process.
• Upon grant award assist in onboarding requirements including compliance training and grant tracking tools.
• This may include providing templates and guidance for tracking the outcome and collecting the data.
• Draft periodic and final reports for the funding source upon request.
