The vendor required to provide dependent eligibility audit completed by April 1, prior to the start of the fiscal year 2025–2026 benefits open enrollment period.
- Requirement:
1. Audit planning and project management
• Develop a project plan, timeline, and communication strategy
• Assign a project manager and key staff.
2. Data collection and validation
• Work with the district to obtain enrollment files from the financial system, which includes employee data, carriers, and payroll systems.
• Validate data accuracy and identify discrepancies.
3. Dependent verification audit
• Verify eligibility of all dependents enrolled under medical, dental, and vision plans.
• Acceptable verification documents may include birth certificates, marriage licenses, tax returns, or other proof of dependency.
• Provide secure document submission options for employees.
4. Communications support
• Provide templates and tools for employee communication.
• Manage outreach to employees regarding documentation requirements and deadlines.
5. Reporting and deliverables
• Provide detailed audit reports including:
o Number of dependents reviewed.
o Number and types of dependents flagged or removed.
o Estimated cost savings.
• Final summary report and recommendations for maintaining ongoing compliance.
6. Optional ongoing services (please provide pricing separately):
• Continuous eligibility monitoring.
• Annual dependent verification audits.
