Statewide Collection Agency Services

The Vendor is required to provide collection services to the state pursuant to the terms of this contract, and such services shall be made available to all state
- Account. Consists of an outstanding balance and will include information such as the state assigned Account number, debtor’s name, address, telephone number, original balance, amount to be collected, and comments.
- provide Account information, which includes but is not limited to the state assigned Account number, debtor’s name, address, telephone number, original balance, amount to be collected, and comments, in a format that is mutually agreed upon by the Agency Coordinator and the Contractor.
- The Authorized User shall be notified, either directly or through the portal, when files are downloaded and accounts established;
- The Account Manager shall acknowledge and respond to general inquiries, documentation requests, and administrative questions from the State within five (5) business days of receipt.
- The Agency Coordinator shall identify and include State Collection Fees with the Account information provided when an Account is placed with the Contractor.
- The portal shall display all referred Accounts and shall provide real-time visibility of the following:
•    Current Account status and balance information;
•    Acknowledgement of the receipt and upload of accounts which indicates the total number and aggregate value of the Accounts referred as well as other identifying information such as debtor’s name, the state assigned Account number, the date the Account was referred, and the account balance.
•    Detailed notes reflecting all outreach efforts, communications, and collection activities;
•    Time-stamped updates for all actions taken;
•    Complete payment history, including partial payments, payment plans, and plan compliance.
•    Complete inventory listing of all Accounts referred to the Contractor.
•    Report for Accounts cancelled or returned to the Authorized User by month
