Document Destruction Services

The vendor is required to provide destruction of city identified documents on an on-going scheduled and on an as-needed basis.
•    Destruction of documents shall be provided off site for each location served, except for the police department. 
•    Department requires destruction of documents to be provided on site on a consistent schedule. 
•    City departments shall reserve the right to require on site or off-site destruction as needed. 
•    Contractor shall have and maintain a consistent pick-up schedule for all departments and locations. 
•    Departments with secured facilities, contractor may be required to call the department when in route. 
•    Provide all labor, materials, containers, equipment and supervision necessary to collect and shred the materials from the designated locations.
•    Collect locked containers from multiple inside locations on the schedule at multiple locations throughout the city. 
•    Provide (40-96 gallon), lockable, wheeled totes with hinged tops on a monthly rental basis. 
•    Provide optional lockable, stationary consoles measuring approximately 36”h x 22” w x 16” d, with insert bag and paper slot with deflector as needed. 
•    Provide a certificate of destruction and other reports as required to the city contact for each department for each location served. 
•    Include the information required and be submitted at the frequency required for each department. 
•    Information material remains secured from the moment of retrieval from the city until destruction is accomplished. 
•    Opportunities for recycling are encouraged to the extent that the content of the information material shall not be revealed. 
•    Unable to collect containers for reasons beyond its control, the city contact for each department shall be notified as soon as possible, but in any event no later than 3:30 p.m. on the same day. 
•    Contractor shall be certified by the national association for information destruction (NAID).
