The Vendor is required to provide online background check services.
- These services will support pre-employment screening of all prospective employees, as well as the updating of background check for current employees.
- This estimated volume includes both fingerprinting and name-based background checks and is provided for planning purposes only; no minimum quantity is guaranteed.
- Background checks are focused upon all potential new hires and, when requested, updates to existing employees’ background checks.
- The actual background screenings requirements which must be met:
• Account configuration and permission setting for system users
• Online ordering and report retrieval
• Access to reports for college usage of services
• Applicant self-service capabilities
• Online management reports
• Online adverse action letters (pre-populated with applicant data)
• Electronic invoicing
• Automated status notifications
• Duplicate background report order warning
• Real-time researchers feature with accurate, up-to-date information
• E-mail to applicant carbon copy feature
• 24/7 customer service via toll-free telephone, email or live chat
• Online resource center
• Consent form – online template
• E-signature capability
• Fully online system and accessible to applicants from any internet portal
• Must be accessible online 24 hours a day, 7 days a week
• Software must be compatible with workday (the college’s ERP financial software), vendor should preferably be a workday select partner and a workday certified cloud solutions partner to integrate into the workday software
• Workday 2025 release 2 or higher compatibility
• Must be able to provide results of background screenings within 48 hours to the college during normal business hours, excluding holidays. However, if the vendor encounters any problems regarding an applicant’s search, the vendor shall notify the college immediately with the reason for the delay in providing the requested information and the anticipated delivery.
• Must be able to ensure confidentiality and security of data.
• Sample results must be presented with clear illustration and/or explanation.
- Provide a complete turn-key operation to support background screening and fingerprinting services for prospective and existing employees, including equipment, trained personnel, and an online applicant system accessible 24/7.
