The vendor is required to provide for comprehensive information technology (IT) services.
- The IT firm, as part of this engagement, will conduct the following activities:
1. Plan and perform the IT services, including, but not limited to:
• Monitor and report on the availability, performance and general health and security of the hardware and software components of our computer network.
• Windows operating system monitoring and scheduled application of patches and updates for servers
• Monitor and maintain applications
• Data backup solution monitoring, backup software updates and backup data recovery
• Configuration and maintenance of mobile devices, including MFA tokens, etc.
• Repair of workstations and liaison with any third-party warranty provider to cover out-of-warranty repair as needed
• Software license tracking and management
• Asset management assistance
• New technology education and training
• Purchasing and configuration advice and setup
2. Ensure systems are secure and updated, through tasks including, but not limited to:
• Perform tests of security
• Consistent and timely advice about security best practices relating to passwords, file restriction, data protection, data security, etc.
• Anti-virus monitoring and management
• Mitigate the risk of security breaches and information leaks
• Provide network security and safety training as necessary
• Provide recycling services for old/obsolete equipment
3. Review and ensure risk compliance:
• Provide advice to maintain compliance with applicable laws and regulations and provisions of contracts and agreements.
• Provide advice to maintain compliance with insurance regulations.
4. Review the internal it controls of agency to an extent necessary to evaluate the system to ensure policies and procedures are relevant and effective.
5. Assist with it budget planning. Including annual reviews of software and hardware subscriptions to evaluate if they are cost effective.
6. The IT provider shall be required to notify agency immediately or as soon as is practical after noting any irregularities, breeches and illegal acts or indications of illegal acts.
7. Provide agency with a report upon completion of the initial set up, confirming the proposed set-up plan was successfully completed.
- Services are to be provided Monday to Friday from 8:00 am to 5:00 pm. after hours, weekends and holiday emergencies or scheduled support should be available as needed.
