RFP Description

The vendor required to provide, design, install, configure, license, and support replacement wireless access points across 11 branch library locations and the library headquarters. 
•    Wireless network design and validation
•    Equipment procurement
•    Removal and proper disposal of existing wireless hardware
•    Installation, mounting, labeling, and configuration of new wireless access points
•    Integration with the new wireless management platform which can be cloud or wireless controller
•    Post-installation validation, testing, and documentation
- Licensing, maintenance, and support requirements
•    Required cloud or controller-based management licenses
•    Initial license term (3 years)
•    Ongoing firmware updates and security patches
•    Manufacturer technical support and software maintenance
•    Access to vendor or manufacturer support portals and knowledge bases
- Equipment requirements
•    Total quantity: 90 wireless access points
•    89 indoor access points
•    1 outdoor-capable access points
•    New, unused, and current-generation from the manufacturer
•    Not refurbished, reconditioned, or gray-market
•    Covered under a manufacturer warranty for the full support term
•    Vendor must include:
o    All required mounting hardware, brackets, and accessories
o    Any required power injectors or adapters (if applicable)
o    Proper labeling of installed equipment
•    “Equivalent” equipment models may be proposed but will be evaluated solely at the discretion of the city-library department and must meet or exceed the specified performance, feature set, and e-rate eligibility requirements.
- Installation
1. Removal of existing equipment
•    Remove existing Unifi access points and mounting brackets
•    Return removed hardware to city-library department
2. Labeling standards
•    Install city-library it provided asset labels on each access point
•    Ensure proper orientation and visibility per city-library instructions
3. Mounting requirements
•    Use provided manufacturer mounting hardware
•    The majority of installations will be accessible by ladder
•    The city–library department will provide a scissor lift for access points mounted on high ceilings
4. Site survey for each location to provide heat map diagram for signal strength or bars
5. Documentation requirements
•    Asset tag number
•    AP model number
•    MAC address
•    Network drop id
•    Floor plan (redline diagram, interface, ap name, path-line diagram for all aps)
•    Mounting type (wall/ceiling/tile rail)
•    Install location reference (e.g., northeast corner)
•    Approximate height of install
6. Cabling requirements
•    Reuse existing cat6a cabling where available; replace any existing cat5 cabling currently in use with cat6a
•    Cable ends must be cleaned before connecting remove and dispose of existing cat5e patch cables
7. Post-Install verification
•    For aps installed via lift: vendor must obtain real-time confirmation from city-library IT staff that the ap is functioning properly prior to lowering lift.
- E-rate supports connectivity through two categories of service:
•    Category one: broadband services bringing internet to schools and libraries. 
•    Category two: internal connections, services, and equipment supporting broadband within schools and libraries.
