RFP Description

The Vendor is required to provide and onboard a limble computerized maintenance management system (CMMS) asset and work order management  system to manage assets, locations, parts, repairs, work orders, preventative maintenance schedules, vendor lists, and other needs of the hatchery and state lakes program.
- The system will be utilized by 20 end-users at various locations throughout state.
- The solution must demonstrate compliance with system and organizational controls for service organizations 2 (SOC 2) data security standards.
- The CMMS must feature geographic information system (GIS) integration and be capable of managing assets (including warranty and depreciation tracking), work requests, work orders, preventative maintenance schedules, and vendor lists across multiple geographically separate locations.
- The system must include API access, and custom API integrations shall be offered during implementation and onboarding support.
- The CMMS desktop application will allow users to log assets, create and view work orders; create and view preventative maintenance schedules; look up performance metrics (including but not limited to: planned vs. unplanned downtime, mean time-to-repair, downtime tracking, meter readings, MTBF, MTTR, and maintenance KPI reports); track vendors and costs; visualize data, and facilitate various other needs of the hatchery and state lakes program.
- Creation of unlimited custom fields and custom dashboards shall be included with the subscription.
- The CMMS mobile application shall be android and iOS compatible and must allow end users to view assigned work orders and preventative maintenance schedules; log work orders; create new work orders; look up asset information; record notes; capture photos and receive push notifications.
- The mobile application shall include an offline mode to facilitate work in remote areas without internet access and/or cellular service.
- The app must transition automatically into offline mode upon loss of service, and changes made during offline mode must upload to the system automatically when connectivity is restored.
- The system shall support unlimited cloud-based storage.
- The system must allow for the creation of work requests (ticketing).
- Work requests may be submitted by both licensed users and guests.
- The system must support custom approval processes as part of the work request approval workflow and AI technology to identify duplicate requests.
- The system shall allow for the creation of unlimited work requests and work orders and shall allow work orders to be linked to critical information, including but not limited to facility, exact location (LAT/long), assets, vendors, required parts, priority, and due date.  
- Creation of a new work request or work order must allow for photo capture and markup.
- The CMMS must allow for the creation of unlimited and customizable preventative maintenance (pm) schedules and facilitate automated interval-based and conditional pm scheduling.
- Automated push and email notifications shall be sent to users when a pm is created or due.
- The CMMS will allow for the creation and tracking of unlimited assets, arranged in a parent-to-child hierarchy with unlimited hierarchy options.
- The system shall generate unlimited QR codes to facilitate work requests and management of information, assets, and parts; and shall support this via barcode scanning and barcode-to-QR-code transfer.
- Work requests can be submitted by scanning a QR code associated with a location, asset, or part.
- There shall be no limit to the number of requestors.
- The system shall facilitate management of inventory and spare parts.
- Parts usage shall be automatically tracked based on work orders and reported in real-time.
- Equipment and parts may be checked-in and checked-out in real time.  
- The CMMS shall allow for the management of unlimited vendor data. management includes the ability to store vendor contact information, associate a vendor with assets or parts, and record vendor history (time spent, parts used, work orders completed, invoices received, and other desired data).
