RFP Description

The vendor is required to provide audio visual (AV) integrator for services related to new and existing county conference facilities.
- This may involve design, installation, testing, and support of audio-visual systems to meet the specific needs of our diverse departments and facilities. integration must ensure high-quality audio and visual communication in a variety of settings, including meeting rooms, auditoriums, and public venues.
- The contractor will be required to implement AV standards that comply with county regulations, ensuring both functionality and security.
- The chosen AV integrator will play a crucial role in modernizing our facilities and ensuring our staff are equipped with the tools they need for effective communication.
- Service requirements
1. Consultation and design services
• Conduct a needs assessment with county staff to establish system design parameters.
• Develop detailed project proposals including equipment specifications, layout, and pricing within a timeframe set by the county after the initial consultation.
• Provide a clear project timeline outlining key milestones and deliverables.
2. Purchase the equipment (with approval from the county of the equipment list) and other items needed for the project
3. Installation services
• Complete installation within the agreed-upon timeline that minimize disruption to county operations which may be during or outside of regular business hours as agreed upon for the designated project
• Provide appropriately skilled personnel and supervisor during an installation project.
• Pass a detailed quality assurance inspection based on established industry benchmarks.
• Provide in-house audio specialist certified in QSC DSP (digital signal processors) and Creston and QSC coders.
4. Maintenance and support
• Two (2) preventative maintenance visits per years.
• Other technical support or maintenance visits on an as-needed basis
5. Documentation and handover
• All systems must be fully functional and thoroughly tested prior to the handover to county staff.
• Handover documentation must include warranty information, user manuals, service records, and any licensing information for software used.
• All code developed will be the property of the county and will be delivered in uncompiled form.
• A final meeting to discuss system functionality, maintenance policies, and terms of support must be held following installation and testing.
